Who You Are Actually Hiring

ONE PERSON.
EVERY EVENT.
EVERY MARKET.

"I'm Terry Tunks -- owner and on-site event production lead of Spectrum Sound. I have been DJing since 1987 and producing corporate events across the Tri-State since 1992, and I hold a Business Communications degree from Western Kentucky University. Over 1,200 events later, I still commit 9-18 hours of preparation and performance time to every single one. When you hire Spectrum Sound, you work with me from the first conversation through the last guest leaving. Not a dispatcher. Not whoever's available. Me."

I hold a Business Communications degree from WKU -- which means I understand how a formal program runs from the stage side, not just how to operate the equipment. I have also spent four seasons as DJ and MC for national brand activations at 10,000+ attendee events, running four simultaneous live stages. That scale of production does not leave room for error, and that standard came back to Evansville.

Corporate Event Production -- General FAQ

CORPORATE EVENT
FREQUENTLY ASKED QUESTIONS

Questions specific to a city -- cost, travel fee, venue knowledge, booking timing -- are answered on each city page. These answers apply to every market.

How is corporate event DJ and AV production different from a wedding DJ?

Corporate events have programs, not parties. They have speaker sequences, award ceremonies, executive protocols, video playback, timed transitions, and audiences who judge the production against a professional standard. The music is one piece -- often background music for arrival and dinner, dance music for an after-dinner hour -- but the AV infrastructure for presentations, the MC work for award sequences, and program pacing are the real job. I hold a Business Communications degree from WKU, which means I understand how a formal program runs from the stage side, not just how to run the audio.

How does the quoting process work for a corporate event?

Every quote starts with a conversation about the event -- occasion, audience, program structure, venue. Then a walk-through, in person or virtual. The walk-through covers power access, load-in logistics, room acoustics, AV infrastructure, and any technical requirements specific to the space. The quote is built from that information. It reflects your actual event, not an option adjusted to fit. Contract price equals final invoice price -- nothing is added after signing.

What does 9-18 hours of preparation and performance time cover?

That 9-18 hours covers both sides of the commitment: the preparation before the event and the hours on-site running it. On the prep side -- music curation and mapping for every program segment, AV configuration and equipment staging, run-of-show development with every cue and transition timed out, coordinator contact, and equipment check with backup system test. On the performance side -- 60-90 minutes early arrival and full sound check, then the event itself from first guest through teardown. For larger productions the prep number is higher: advance venue visit, power mapping, and load-in coordination all add to it.

What types of corporate events do you produce?

Award banquets, healthcare galas, employee appreciation events, company holiday parties, non-profit fundraisers, civic galas, manufacturing banquets, university events, trade shows, multi-speaker conferences, luncheons, day breakers, and corporate retreats. Events range from 30-person luncheons at hotel meeting rooms to 500-person galas at The Centre in Evansville. Pricing reflects scope -- custom-quoted after a walk-through.

How do you handle award ceremonies and formal program elements?

Award ceremonies have specific requirements: pre-cued music for each award segment, microphone handoffs between presenters and recipients, precise timing for executive introductions, and a program pace that does not feel rushed or slow. I script the full run-of-show in advance, share it with your event coordinator, and cue every element live. Walk-ons, award presentations, video segment transitions, and speaker introductions all run on a defined timeline built together before the day.

Can you handle a multi-speaker conference or multi-day corporate event?

Yes. Multi-speaker conferences require independent microphone management -- lapel mics, podium mics, and handhelds staged and tested for each speaker before they go on. Seamless transitions between speakers, no dead air, no fumbling. Multi-day events are scoped and quoted accordingly. For events at larger facilities like The Centre in Evansville or comparable venues in other markets, I coordinate with the in-house AV team on integration points before the event.

How far in advance should we book a corporate event?

For Q4 events -- holiday parties, year-end banquets, foundation galas -- contact by August. October through December is the busiest stretch of the corporate calendar across the Tri-State, and Friday evenings book first. Spring and summer events have more flexibility. For large productions requiring custom equipment staging or multi-day coverage, six to nine months is a reasonable lead time. A quick call tells you the availability situation in a minute.

What payment methods do you accept for corporate events?

Cash, Visa, Mastercard, Discover, PayPal, Venmo, and personal or business check. After the consultation or walk-through I hold your date for 7 days with no payment; a 50% deposit then locks it, and the remaining 50% is due the week of the event. Contract price equals final invoice price -- no day-of additions, no after-event billing. A one-time $275 site-survey fee applies only when an unfamiliar or complex venue needs an on-site assessment before the quote. For organizations that require a W-9 or vendor setup process, reach out early so paperwork does not delay the contract.

What AV equipment do you provide for presentations and speakers?

Full presentation AV: projector and screen, video playback, podium microphones, wireless lavalier mics, and handhelds for Q&A and awards. I run seamless transitions between multiple speakers so a keynote, a panel, and an award sequence flow without dead air or feedback. Where a venue has house AV, I integrate with it rather than working around it.

What happens if equipment fails during the event?

A complete backup system travels to every corporate event -- spare speakers, spare mixer, spare wireless microphones, spare cabling. If something fails mid-program, the switchover is quiet and immediate. This is standard practice on every booking, not a premium add-on, and in more than 1,200 events since 1992 a failure has never stopped a program.
